Description

The Assistant Director of Admissions for Financial Aid is responsible for administration of the financial aid process and program and the communication of the financial aid process and of statistical reporting for these activities. This position will develop and implement a financial aid application process and deadlines and review the financial aid applications and allocation of financial aid awards. This role will service students and families at every grade level, providing a consistent level of service from initial recruitment and application through graduation. The expressed purpose of the Regis Jesuit Financial Aid program is to make the opportunity of a Jesuit education available to economically diverse students and to champion the belief within the larger community that Regis Jesuit is financially accessible.

Essential Job Functions (Responsibilities)
Financial Aid:

  • Manage and implement the school’s student Financial Aid program in accordance with school policies and procedures. Award financial aid to students based on the school budget, need, and results of FACTS Grant and Aid analysis.
  • Provide report to the CFO by June 1 with total awards to date (including all special awards), including a holdback of the budget is available for late applications and unusual circumstances.
  • Prepare and publish annual schedule of financial aid tasks and timelines. Coordinate the annual schedule with all parties involved in the process, including Principal, Admissions Director, Advancement Office and CFO.
  • Meet with and counsel prospective and returning families on Financial Aid program, as needed.
  • Notify parents of award/non-award of aid via letter in accordance with the published timeline.
  • Coordinate awards with the Advancement office on assignment of donor scholarship recipients.
  • Support stewardship activities for specific funders and scholarships related to financial aid recipients and their families.
  • By August 1, maintain a monthly running report of the tuition assistance statistics of dollars awarded by type of award, number of students receiving each type of award, average award, budgeted awards v. actual, and reconciles to the general ledger.
  • Document contacts with parents in the student billing account record.
  • Prepare annual report of number of families receiving tuition assistance by adjusted gross income.
  • Ensure that the Regis Jesuit website and student handbook information is complete and accurate at all times for the areas of Tuition and Financial Aid.
  • Prepare reports for the CFO and Audit and Finance Committee, as requested.
  • Serve as Admissions office point person for prospective families regarding Financial Aid program
  • Assist in the delivery of marketing materials and communications regarding financial aid with Business Office
  • Provide Business Office with additional family information, as requested
  • Chairs Financial Aid Committee in conjunction with Director of Admissions and members of Admissions office and Business office representative.
  • Provide connection for families in regards to Xavier & Montoya Funds for financial support beyond tuition and fees.

Admissions:

  • Professionally represent the mission and programs of RJHS with integrity.
  • Manage contact with registered freshmen and potential students through face-to-face meetings, phone calls, cards and newsletters. Act as a primary contact for prospective family and students and incoming freshmen.
  • Lead tours of campus and express the vision and mission of Regis Jesuit
  • Design event programing for prospective students and families connected with school sponsored co-curricular events.
  • Assist in the development and implementation of the short-term and long-term recruiting marketing strategies including strategies for expanding recruitment in the public school sector and a variety of diverse demographics.
  • Assist in the keeping and maintenance a database of potential students, and follow up on all inquiries to Regis.
  • Assist in the development of and revision of all admissions publications and marketing materials
  • Assist in the planning and implementation of Admissions events including Open House, New Raider Night and Future Raider Events.
  • Assist in developing, coordinating, and maintaining relationships with grade school counselors, principals, community leaders and other referral sources.
  • Coordinate all events, initiatives and communications with Admissions Director.
  • Provide relevant notes for and serve as member of Admissions application review committee.
  • Assist the President, Alumni Director and Director of Advancement when appropriate.

Technology:

  • Manage flow of student data from admissions office to requisite school and advancement offices.
  • Monitor technology solutions for the admissions process, including but not limited to:
  • Collection of data required for RJHS
  • Ease of use for RJHS customers (incoming families)
  • Remaining in line with market expectations
  • Facilitation of required reporting
  • Monitor and update website content


Requirements (Education, Experience, Required/Preferred Skills)

  • Bachelor’s degree
  • Exceptional interpersonal skills; written and oral communications skills
  • Exceptional Analytical skills
  • Marketing, Communications background/experience
  • Tech skills, Particularly strong proficiency with Microsoft Excel
  • Bilingual skills (English/Spanish) highly desirable
  • School experience desirable
