Regis Jesuit High School is seeking an Admission Assistant to begin immediately. The Assistant is responsible for the management of tasks related to projects specific to the Admissions Department . Additionally, this position provides clerical support to the Admissions Office and corresponding administrators. The ideal candidate will be able to assist Spanish-speaking families through the admissions process.The position is a 24-hour per week position during the school year, with occasional hours in the summer.The starting hourly rate is $27/hour with previous experience taken into consideration, and full benefits are available. Essential Job Functions
- Professionally represent the mission and programs of RJHS with integrity
- Manage process and correspondence of acceptance packets
- Manage registrations for Entrance Exam, 7th Grade practice exam and other admissions events
- Assist Director of Admissions in running parent informational meetings
- Conduct parent tours of school and participate in school fairs
- Assist Director of Admissions with marketing strategies, program implementation, consulting on admissions decisions and assisting on recruiting visits
- Co-coordinate open house, entrance exams and interviews
- Assist in preparation for events:
- Organize registration information.
- Organize catering
- Manage rentals/providers if needed
- Print name tags and signage as needed
- Manage stationery for the Admissions Office, ordering and storing
- Manage Christmas Cards process for the Admissions Office
- Provide support for other RJ events, as needed
Administrative Support:
- Schedule appointments for the Admissions office
- Direct mail for the Admissions office and process applicant documentation
- Consult with prospective families on phone, email and in person
- Create and maintain Admissions files.
- Track, follow-up and collect missing information for applications (transcripts, recommendations, etc.).
- Manage FinalSite Enrollment Program
- Post material to the website, as needed
- Track, process, and develop reports throughout the year.
- Manage the software update and effectiveness
- Process Inquiries and Application Materials
- Online Event registrations
- Event registration rosters
- Manage flow of student data from admissions office to requisite school and advancement offices.
- Assist the Assistant Directors of Admission with weekly communication through FinalSite
- Manage communication with new families, mailing of viewbooks
- Manage the Admissions weekly meeting agenda
- Manage international student documentation and Visa processing with Registrar
- Oversee payments for events and refunds related to entrance exams and/or tuition deposits
- Maintain and monitor inventory
- Perform any other duties requested by the Director of Admissions and provide support to Asst. Directors of Admissions.
Requirements (Education, Experience, Required/Preferred Skills)
- Spanish speaking preferred
- Exceptional Computer Skills, including, but not limited to:
- Word (required), Excel (required), SchoolAdmin Admissions Software (preferred), Blackbaud Database (AO & EE and ON products) (preferred)
