Description

The Pastoral Retreat Coordinator serves on the Pastoral team and oversees the pastoral programming for student retreats and fostering a culture of faith and prayer. This includes coordinating student retreats specifically VIA Freshmen Retreat, Manresa Sophomore Retreat, the Senior Retreat Leadership Retreat (RLR), and assisting the Director of Pastoral Ministries with Junior Kairos Retreats—as well as supporting the school’s pastoral outreach initiatives and forming student retreat leaders through weekly prayer and Bible study.

This is a .6 position with .4 teaching (Theology). The .6 Coordinator minimum salary is $36,000, with previous experience taken into consideration. The teaching portion will be placed on the 26-27 faculty salary scale based on education level and years of experience. Essential Functions/Responsibilities:

  • Manages and oversees all the logistics for retreats in collaboration with staff/student retreat leadership teams, the Director of Pastoral Ministries, the Assistant Principal of Mission, Ministry, and Diversity.
  • Supervises, assigns tasks, and coordinates senior student pastoral core team through weekly meetings in their Pastoral Ministries responsibilities as they pertain to student faith formation; this includes planning for all school liturgies, IMPACT masses, and monthly Senior Sunday evening candlelight Masses.
  • Organizes and implements follow-up assessment and formation activities for both students and staff retreatants following retreats.
  • Coordinates with the Director of Pastoral Ministries the partnerships and regular communication with retreat sites to arrange meeting spaces, lodging, transportation, meals, and ensures safety measures.
  • Communicate with students and parents the appropriate details and logistics for Via 9th grade, Manresa 10th grade and RLR senior retreats.
  • Consults and collaborate regularly with key staff constituents to ensure the best retreat experiences for all students; this includes counseling, deans, division heads, and Coordinator of VIA Program.
  • Coordinates with school health officials and retreat coordinators to disseminate medical records for students and ensures medical kits for retreats; ensures all adult chaperones understand their role in responding to emergencies and that each retreat has a designated medical officer and counselor in-person or on-call.
  • Forms and trains all student Retreat leaders including small faith communities, ways of discipleship, 4th day events, masses, RLR retreats, and small prayer groups.
  • Assists the Pastoral Ministries director to find and compose daily prayers/examens that engages the liturgical calendar and aspects of the MMD programming and current events.
  • Trains staff and students to be a Eucharistic Minister, lector, convocation speaker, acolyte, and other pastoral roles for students.
  • Assists the Director of Pastoral Ministries in the student and staff leadership selection process.

Job Functions specific For VIA (9th grade), Manresa (10th grade), and RLR (12th grade) retreat programs at Regis Jesuit:

  • Oversees all three retreats for both young men and women.
  • Creates Catholic faith formation and discipleship vision and goals into a retreat schedule which includes pre and post retreat experiences for 9th, 10th, and Senior leader retreats.
  • Chairs the student retreat leaders’ selection committee for all three retreats.
  • Assigns and oversees the adult leaders on the VIA, Manresa, and RLR Retreats.
  • Oversees and supports the VIA and Manresa coordinators in their planning and implementation of the Freshmen and sophomore retreats.
  • Is present at all planning meetings for all three retreat programs.
  • Ensures that every 9th and 10th has attended the VIA and Manresa retreats as a graduation requirement.
  • Required to attend the entire freshmen retreat, both RLR retreats, and direct at least two of the four sophomore retreats every school year.
  • Oversee all four 10th grade Manresa retreats in both buildings.
  • Supports the faculty coordinators of the VIA 9th grade retreat, and faculty coordinator for each sophomore retreat managing the logistics and communication with the retreat center.
  • Oversee the formation of VIA 9th grade junior/senior leaders and all senior sophomore retreat leaders.
  • Sends out surveys to retreat participants, student/adult retreat leaders, and retreat coordinators after each 9th, 10th, and RLR retreats.
  • Communicate with RJHS parents and students prior to a retreat and throughout the retreat as needed.
  • Conducts follow up focus groups for each retreat with leadership teams and groups of students as needed.
  • Addresses all discipline, physical, and mental health issues with the retreat coordinators, Pastoral Ministries Director, AP of MMD, and pertinent members of the Educational Leadership Council (ELC)
  • Annually finalizes and updates retreat manuals for each of these retreats.

Job Functions Assisting the Coordinator of Pastoral Ministries with Junior Kairos Retreats:

  • Oversees and helps lead all Kairos junior prayer services (Thursday evenings).
  • Sets up logistics for all evenings of Kairos returns (Friday evenings).
  • Leads follow up conversations with adult and senior Kairos retreat leader teams.

Coordinator of Order of Christian Initiation of Teen Program:

  • Provide key support for the planning and facilitation of the Order for Christian Initiation of Teens (OCIT) to accompany students preparing for Baptism, Confirmation, and Eucharist
  • OCIT coordinator conducts personal interviews with each candidate/catechumen and commits time outside of meetings to continue to walk with them, coordination and communication of all meetings.
  • Organizes with the Jesuit Community, the Rites, Scrutinies, and Mass of Thanksgiving for receiving sacraments. Communicate with Parishes depending on students' individual needs and collect paperwork for sponsors and recording paperwork
  • Manages the adult team of catechists and assigns curriculum for the entire OCIT year.
  • Attends and sets up all OCIT meetings.

Requirements (Education, Experience, Required/Preferred Skills)

Required:

  • Must be a practicing Catholic
  • Prior experience in pastoral programming, retreat leadership, and formation at the high school level as related to Catholic, Jesuit Secondary Education of young women and men.

Preferred:
Master’s Degree in Pastoral Studies, Theology, or another related field.
