Regis Jesuit is seeking an Associate Director of Events. This is a cultivation, stewardship, and revenue generating position that supports the mission of the school through the planning, execution and ongoing refinement of events and collaborating with the Director of Donor Engagement on strategy that supports the fundraising initiatives of Advancement. The Associate Director of Events will work closely with the Data & Information Engagement Manager and the Advancement Gift Processor on event data and processing logistics while working directly with both the Director of Donor Engagement and Director of Alumni Relations on direction and execution of events. Event responsibilities include, but are not limited to, event planning, set-up, event management within a team, cleanup and reporting for 15+ events annually.
This individual directly reports to the Director of Donor Engagement and is a full-time, twelve-month position with a starting salary of $68,000 (previous experience will be considered) and full benefits. To learn more about working for Regis Jesuit High School, please click here.
Essential Job Functions
- Develop a comprehensive events plan in collaboration with the Director of Donor Engagement and timeline for Advancement that supports fundraising goals for annual operating and strategic initiatives, as well as community-building opportunities.
- Control event budgets including expenses and revenue; make purchases, pay invoices and make deposits for events; reconcile expenses.
- Manage event vendor relationships and act as the Regis Jesuit liaison to event vendors. This includes selection of vendors and reviewing and signing contracts.
- Collaborate with the Advancement Gift Processor to move gift data from the auction software and reconcile event revenue with Raiser’s Edge
- Collaborate with other school departments on event support needed, including facilities, pastoral and student involvement.
- Collaborate with the Marketing Teams to plan and review all event-related communications.
- Preside over events throughout the year.
- Create event nametags and other event-support documents using mail merges.
- Notify MGO’s of event attendees.
- Oversee all event project management checklists and make updates, as needed.
- Collaborate with Database Manager to track event RSVP’s, registrations, payments and attendance using the Event Module in Raiser’s Edge.
- Direct all Advancement events.
- In collaboration with the Director of Donor Engagement set guidelines for event goal setting, ROI, budgets, invite lists, vendor procurement, venue selection and contract negotiation.
- Collaborate with Gift Processor to send, or manage the sending of, acknowledgments, receipts, and/or invoices post-events.
- Schedule and calendar all events for Advancement and work with other school personnel to ensure minimal conflict and optimal dates are chosen for Advancement events.
- In collaboration with the Director of Donor Engagement and Gift Officers build a sponsorship pipeline.
- Maintain exemplary relationships with event chairs, volunteers, and vendors and actively recruit a dynamic volunteer pipeline.
- Direct a robust gala committee
- Work with Director of Donor Engagement on strategic recruitment of volunteers
- Manage ‘events’ and ‘lark’ email accounts and respond to or forward messages, as needed
- In coordination with the IT Department, select appropriate software for event management (auction software, raffle software, volunteer collaboration, etc.)
- Enter data and information into auction software. Manage information and reports. Create and pull event queries and reports from Raiser’s Edge, and auction software.
- Collaborate with the Director of Donor Engagement to ensure the creation of strategic event-related materials, both print and digital. This includes invitations, social media, videos, programs, scripts and more.
- Create and send event emails. Including initiating list requests.
- Order giveaways for Advancement events.
- Manage events on nights or weekends, as needed.

- Excellent computer skills including Microsoft Word, Excel and Outlook, and understanding database structures.

- ThankView
- Ability to provide concise, accurate and professional reports.
- Strong personal communication skills, both written and verbal and the ability to work in a professional environment in a team approach.
- Knowledge of principles and techniques relevant to fundraising and event planning
- Ability to maintain strict confidentiality.
- Understanding of and commitment to the mission of Jesuit education and supporting the faith dimension of the school
- Lifting 20 – 50 lbs. occasionally and 10 – 20 lbs. frequently
- Loading and unloading supplies, twisting and lifting
- Ascending and descending stairs
- Ability to maneuver 82-acre property, including multiple buildings.
- Certain events require standing for a full day.
